Is Your Process Workflow-Ready? Build Clarity Before You Build in Smartsheet

Teams often arrive eager to build: a process that feels messy, a list of frustrations, and a vision of something smoother. They start creating sheets, linking cells, adding forms, and naming dashboards — and halfway through the build the friction shows up again, because the process was never actually defined.
Clarity comes before configuration
Smartsheet is very good at executing a defined process and very bad at inventing one for you. If the steps, owners, and hand-offs are ambiguous on paper, they will be ambiguous in the build — just with more automation attached.
The five-question readiness check
- What starts this process, and who is allowed to start it?
- What are the stages, and what has to be true to move between them?
- Who owns the work at each stage, by role rather than by name?
- What does 'done' mean, and who confirms it?
- What does leadership need to see, and how often?
Write it before you build it
One page is enough. A short written process definition turns a build from a series of opinions into a specification — and it is the artifact that makes scoping, testing, and training straightforward later.
